Practical tools for early planning
These resources are designed for early estimating and project preparation. They do not replace a supplier take-off, builder estimate or professional design, but they help you ask better questions and prepare clearer material lists. Use them to sense-check quantities before requesting pricing or booking delivery.

Building Site Setup Checklist
Use this checklist before ordering or receiving materials. It is written for small builders, renovators, property managers and owner-builders who need a simple way to reduce avoidable site problems.
- Confirm site access for trucks, utes and trades.
- Photograph delivery zones and send notes to suppliers where useful.
- Prepare level bearers for timber and sheet storage.
- Choose a dry, secure location for high-value items.
- Plan temporary lighting and power if work continues early or late.
- Set up waste areas before demolition or deliveries start.
- Confirm who checks delivered quantities and damage.
- Keep product labels, data sheets, receipts and warranties together.
- Lock tools and valuable materials at the end of each day.
- Review weather forecasts before accepting sensitive material deliveries.
Supplier questions template
| Question | Why it helps |
|---|---|
| Is the product in stock or special order? | Prevents trade bookings based on unrealistic delivery dates. |
| What accessories, fixings or sealants are required? | Reduces delays caused by missing small items. |
| How should the product be stored? | Protects materials before installation. |
| Are substitutions allowed if stock changes? | Avoids unapproved product changes. |
| Can delivery be staged? | Reduces clutter, theft risk and weather exposure. |
How to make a material list easier to quote
A supplier can usually quote faster when the request is clear. Include product names, sizes, quantities, grades, treatment levels, delivery suburb, delivery access notes and required timing. Separate must-have items from acceptable alternatives. If you are unsure about a product, describe the application and ask what information the supplier needs to confirm suitability.
For repeat trade buyers, build a standard template for orders. Include project name, stage, delivery contact, unloading instructions, preferred brands, acceptable substitutions and required documents. A consistent template reduces misunderstandings and makes it easier to compare quotes from multiple suppliers.
